We are recruiting on behalf of a startup company that is mission-driven, veteran-owned organization dedicated to crafting coffee. A portion of their profits supports veterans, first responders, and law enforcement. They are building a team that shares their passion for service and excellence.


Role Overview

We're seeking a proactive Executive Assistant / Admin Assistant to directly support one of the owners. This is a high-visibility role that combines classic EA responsibilities (calendar, travel, meetings) with hands-on project coordination, especially for our new office and roastery build-out. You'll help keep operations running smoothly and enable our leadership to focus on growth.


Key Responsibilities

  • Manage end-to-end calendar scheduling, prioritization, and conflict resolution.
  • Organize meetings, prepare agendas, capture action items, and follow up.
  • Handle travel arrangements, itineraries, and expense reporting.
  • Draft and edit communications, presentations, and maintain organized files.
  • Support project timelines and budgets; track milestones for facility build-out.
  • Liaise with architects, contractors, and vendors; schedule site visits and maintain documentation.
  • Prepare bid packets, purchase orders, and vendor compliance records.
  • Provide concise project updates and flag critical decisions.
  • Assist with office operations-supplies, mail, visitor coordination.
  • Help with light HR tasks like interview scheduling and onboarding logistics.
  • Maintain SOPs and process checklists to improve efficiency.

Qualifications

  • 3-10 years of experience as an EA or administrative professional supporting senior leaders.
  • Bachelor's degree preferred.
  • Bonus points for experience in construction, facilities, or food production projects.
  • Strong skills in calendar management, meeting coordination, and travel booking.
  • Excellent organizational and project coordination abilities.
  • High integrity and discretion with sensitive information.
  • Proficiency in Microsoft 365 and modern productivity tools.
  • Adaptable and resourceful-comfortable in a startup environment.
  • Familiarity with vendor management and basic budget tracking.
  • Proactive: Anticipate needs and solve problems before they arise.
  • Organized: Thrive on structure and keep details straight under pressure.
  • Clear Communicator: Write and speak with confidence and clarity.
  • Discreet: Handle confidential matters with care.

Additional Details:

  • Schedule: Monday-Friday 8:00am-5:00pm
  • Pay: $50,000-$60,000 (potential pay increase after a few months of service)
  • Location: 100% onsite, Blaine
